Overview
Email Autoresponder is a mailing application that is used to send automatic responses. You can use this application not only for simple autoresponder messages, but for sending a sequence of messages (so-called follow-up emails) as well.
The program is similar to the email program / email client like MS Outlook, or Outlook Express. Unlike email clients, Email Autoresponder comes with additional features and therefore allows to perform various operations. Email Autoresponder creates email answering engines that can work according to preset rules and send emails on special conditions.
Getting Started
At first launching of the program, you'll see the wizard for setting up the autoresponder. You can also invoke the wizard for creating a simple autoresponder by clicking New button in Autoresponders tab.
Email Autoresponder takes the incoming messages via POP3
account. In order to connect to a POP3 account you need to know:
· Name of the POP3 server
· POP3 account username
· password
Mark the "Leave copies of messages on the server" check box. With this option
turned on, Email Autoresponder won't remove your messages from the mail server.
It will only download the emails from your
account and you will be able to retrieve and read them using your email client.
You can set an individual incoming mail account for every
project.
After you fill in the required fields, click "Verify" button to test the
connection. If the connection is OK, click Next button.
Email Autoresponder sends the outgoing autoresponder messages via SMTP
account. In order to set up SMTP account you need to know:
· your SMTP server
· your username and password (if the server requires authorization)
If you are using an email client like MS Outlook, Outlook Express, The Bat!,
Eudora or other, you can easily find the required data in the settings of your
client. Please, take a look at our tutorial.
In free version all fields are filled with test settings. After you register the
software, you'll have to enter the settings of your SMTP.
Email Autoresponder allows to specify special conditions under which the program will send automatic responses. You can choose whether you want to set special rules to all incoming messages or to every incoming message that meets your condition. To define conditions, select "Every incoming message that meets the following conditions" and specify which field and action should be performed for the messages the autoresponder retrieves.
Please, pay attention that if you choose AND in join operator, the message should meet all conditions. If you choose OR in join operator, the message should meet only some of them.
You can set the special rules using one of the followings
ways:
- by clicking Wizard button
- by clicking Add button
If you click Wizard button, you'll see the following window. Select any condition from the list and enter the text.
If you click Add button, you'll see the following form.
Click "Field" drop down list to choose a field. Then click "Operator"
drop down list to select a condition. Enter the words that must be in the field
in "Word" text box. You can mark "Match Case" if your
condition is case sensitive.
Configure a message which should be sent as a reply to incoming message. Type
in your email address you want this autoresponder to use into the "From" text
box. Then enter subject of your message into the "Subject" text box, and type in anything
as the text of the message.
If you want to finish the wizard more quickly, click the "Go to Finish" button
and set up the name of autoresponder.
Click the "Finish" button to close the "Responder Wizard" window and your first autoresponder will be created.
